This policy explains how Ski Zenit collects and uses personal data when you visit skiracingcamps.ch, contact us, subscribe to our newsletter or book a camp or training. We keep it short and factual: what we collect, why, who receives it and what your rights are.
1. Who is responsible
The controller is Ski Zenit Sàrl, Route de Ricard 8, 3960 Niouc, Switzerland (registered office, no public reception). Phone: +41 774 136 440. E-mail: info@skizenit.ch. We have no obligation to appoint a data protection officer; all requests go to the e-mail address above.
2. Which law applies
We are a Swiss company and process data under the Swiss Federal Act on Data Protection (FADP). Because many of our athletes come from the European Union, we also apply the EU General Data Protection Regulation (GDPR) where it applies to you. When this policy cites GDPR articles, the equivalent FADP rules apply to visitors from Switzerland.
3. What we collect and why
a) Visiting the website
Our hosting provider records technical log data (IP address, date and time, page requested, browser, referring page) to deliver the site securely and detect abuse. Logs are kept for a short period and then deleted. Cookies, statistics and embedded content are described in our Cookie Policy; optional cookies are set only with your consent.
b) Contact form, e-mail, phone and chat
When you contact us we process the details you give us: your name, e-mail, phone and country, the name and date of birth of the athlete(s) you ask about, the programme you are interested in and your message. We use them to answer you and to prepare a quote. If you use the WhatsApp button or the AI assistant on the site, the messages you write are transmitted to the chat provider (see section 6) to be answered; please do not share sensitive information in the chat.
c) Bookings and participation in camps and training
To register an athlete we collect the data in the booking form: contact person (parent or guardian for minors) with address, e-mail and phone numbers; athlete’s name, gender, date of birth, ski club and federation, languages spoken; camp, dates and accommodation chosen; equipment needs; a short skiing video to assess the athlete’s level; how you heard about us; and your declarations (consent for minors, licence and insurance, cancellation insurance, code of conduct, waiver, terms and conditions). We use this data to run the booking, organise the camp (groups, coaches, accommodation, lift passes, transfers), invoice you and comply with our contractual and legal duties.
Allergies and food intolerances. We ask about allergies and food intolerances so that catering and supervision are safe. This is health data. By providing it you consent to its processing for this purpose (Art. 9(2)(a) GDPR / Art. 31(1) FADP); it is shared only with the staff and accommodation partners who need it and is deleted after the camp unless you book again.
Photos and videos. If you tick the corresponding box, we may use photos and recordings taken during the camp for our website, social media and promotional material. You can withdraw this consent at any time by writing to info@skizenit.ch; we will stop using the images for new material.
d) Add-ons: rental, transfers, insurance, merchandising
For equipment rental we collect weight, height and foot size; for transfers, number of passengers, dates, times and locations; for cancellation insurance, the details needed to issue the policy. These are passed on to the rental shop, transfer company or insurer concerned.
e) Newsletter
If you subscribe we store your e-mail address and send you news about our camps. We use double opt-in: the subscription is active only after you confirm it by e-mail. Every newsletter contains an unsubscribe link. Our newsletter provider (Mailchimp) records whether messages are opened and which links are clicked.
f) Payments
Payments are made by bank transfer or through a secure payment link from our payment provider. We never ask for card details by e-mail and we do not store full card numbers. The payment provider processes your card data under its own privacy policy.
g) Reviews
The Google reviews shown on our website are public reviews you or other clients have published on Google. They are displayed through the Trustindex widget and remain governed by Google’s terms.
4. Legal bases
We rely on: performance of a contract or pre-contractual steps (contact, quotes, bookings, camp organisation, invoicing – Art. 6(1)(b) GDPR); legal obligations, in particular accounting and tax retention (Art. 6(1)(c)); our legitimate interests in running a secure website, answering enquiries, preventing fraud and defending legal claims (Art. 6(1)(f)); and your consent for the newsletter, optional cookies, images and health information (Art. 6(1)(a) and 9(2)(a)). You can withdraw consent at any time with effect for the future.
5. Children and young athletes
Most of our athletes are minors. Bookings for minors must be made by a parent or legal guardian, who provides the athlete’s data and gives the required consents. We process this data only to deliver and supervise the camp. If you believe a minor has sent us data without authorisation, contact us and we will delete it.
6. Who receives your data
We share personal data only when necessary to provide our services. Recipients are:
- Camp partners: the hotels and apartments where athletes stay, lift companies, ski schools and training centres, rental shops, transfer companies and insurers — each receives only the data needed for its part (for example names, dates, ages, allergies for catering).
- Our coaches and staff, bound by confidentiality.
- Service providers (processors) acting on our instructions under data processing agreements: WPForms, Make and Google Drive (form processing and storage), Mailchimp (newsletter), Joinchat (WhatsApp button and AI assistant), Google Analytics 4 and YouTube (only with your consent), Trustindex (reviews widget), Cloudflare (form spam protection), our hosting provider (hosting, backups, logs), and our payment provider.
- Authorities, when we are legally required to do so, and advisers (accountants, lawyers, insurers) where necessary to defend our rights.
7. Transfers outside Switzerland and the EEA
Some providers (Google, Mailchimp/Intuit, Make, Cloudflare) process data in the United States or other countries. Such transfers rely on the EU–US Data Privacy Framework and the Swiss–US Data Privacy Framework where the provider is certified, or on the EU Standard Contractual Clauses with the Swiss addendum. Camp partners in Chile receive the data needed to run camps there; that transfer is necessary for the performance of your contract (Art. 49(1)(b) GDPR / Art. 17(1)(a) FADP).
8. How long we keep data
Enquiries that do not lead to a booking: up to 24 months. Booking and camp data: for the duration of the contract and then for 10 years for accounting and tax purposes (Swiss Code of Obligations), with health information deleted after the camp. Newsletter data: until you unsubscribe. Skiing videos: deleted after the assessment or at the end of the camp. Server logs: a few weeks. Consent to images: until withdrawn.
9. Security
The website uses TLS encryption. Access to booking data is limited to staff who need it. Our providers are selected for their security standards. No transmission over the internet is completely secure, so please use the secure payment link rather than sending payment details by e-mail.
10. Your rights
You can ask us at any time for access to your data, for rectification or erasure, for restriction of processing, for a copy of the data you provided (portability), and you can object to processing based on our legitimate interests. You can withdraw any consent with effect for the future. To exercise these rights, write to info@skizenit.ch; we may ask you to confirm your identity. You may also lodge a complaint with the Swiss Federal Data Protection and Information Commissioner (FDPIC) or, if you are in the EU/EEA, with your local data protection authority.
11. Links to other websites
Our site links to partner and resort websites. Their privacy practices are their own; please read their policies.
12. Changes
We update this policy when our services or providers change. The date at the top shows the current version. Questions: info@skizenit.ch.
